Please be assured that as a client of Bramley Natural Health Studio your confidential information will be held (as it always has been) safe and secure. Your treatment is completely confidential but I do need to keep records of your details and appointments,
In order to comply with the General Data Protection Regulations (2018) I would like to inform you
What data I have?
Your client initial consultation information and contact details (supplied by you) are all on paper. I also keep notes on each treatment. No treatment records are stored electronically – they are all on paper;
The contact details that you gave me - telephone/mobile numbers and address - are stored electronically on a password protected device and these are securely backed up.
Where and how your data is stored?
Your paper client treatment records are stored in a locked room to which only I have access unless I am working in which case I am with them. The building has a security system.
Your treatment records are not stored electronically and your data will never be shared with any other party unless you request it. If it is necessary to contact your GP, consultant, insurance company or to refer you to another therapist, I will need your permission to do so.
Your contact details are stored electronically on a password-protected device and are securely backed up.
Why I keep your data
• I legally need to keep a record of your treatment as advised by my professional associations, the Federation of Holistic Therapists (FHT) and Independent Professional Therapists International (IPTI);
• I keep notes on your previous visits to ensure that I give you the best possible treatment;
• I need to record the contact details you gave me if you wish to make or change an appointment;
• I may also call or text an appointment reminder or confirmation. Please let me know if you do not want me to do this or to contact you at all.
How long I keep your data
I keep your treatment records from your first appointment onwards and I retain files for ten years after your last visit in case you come back for further treatment.
After ten years from the date of your last appointment your file will be shredded. The legal minimum period to keep your data is eight years so I cannot destroy your records before eight years have elapsed. Please let me know if you need any further information on this point.
